Job Description

Step into a pivotal role at a top-tier investment firm where your ability to stay two steps ahead sets the pace for the entire team. As an Executive Assistant, you’ll be at the heart of the action, managing dynamic calendars, confirming key meetings, and adapting to shifting priorities with ease. You'll be a trusted partner to senior leadership, handling complex travel, sensitive communications, and seamless coordination across internal teams and portfolio companies. This is your chance to join a growing team where no two days are alike, and every day offers impact, energy, and opportunity. Ready to take your career to the next level?

Responsibilities

  • Provide high-level administrative support to the renewables team. Partner closely with the team to ensure smooth execution of day-to-day business operations.
  • Manage complex calendars, coordinate meetings, and handle scheduling across multiple time zones.
  • Prioritize and resolve scheduling conflicts proactively. Arrange and confirm internal and external meetings, and demonstrate exceptional judgment when managing time-sensitive requests and shifting priorities.
  • Arrange domestic and international travel, prepare detailed itineraries, and process expense reports.
  • Book and coordinate all elements of travel, including flights, hotels, ground transportation, and meeting logistics.
  • Draft, proofread, and manage confidential correspondence, presentations, and reports.
  • Prepare polished and professional documents, often under tight deadlines. Handle highly sensitive information with discretion and maintain the confidentiality of proprietary and strategic content.
  • Serves as a gatekeeper and point of contact for internal and external stakeholders. Field incoming requests with tact and professionalism, ensuring appropriate access to executives.
  • Anticipate needs and take the initiative to ensure smooth day-to-day operations. Stay ahead by recognizing potential roadblocks or delays and proactively finding solutions.
  • Support deal and portfolio tracking, documentation, and related coordination tasks.
  • Maintain meticulous records, filing systems, and shared team resources.
  • Liaise with other departments, including legal, finance, investor relations, and operations, as needed.
  • Coordinate across departments to facilitate the flow of information, meet deadlines, and support broader firm initiatives with a high degree of professionalism and follow-through.

Ideal Experience

  • Bachelor’s degree required.
  • 5+ years of experience supporting senior executives in private equity, investment banking, management consulting, or a similarly demanding environment.
  • Highly organized with strong attention to detail and the ability to manage multiple priorities efficiently.
  • Proactive mindset with the ability to think ahead and solve problems before they arise.
  • Strong communication skills; capable of interfacing with senior leaders and external partners with polish and professionalism.
  • Mastery of Microsoft Office Suite, particularly Outlook, Word, PowerPoint, and Excel.
  • Experience with Concur or similar travel and expense management tools preferred.
  • Operates with discretion, confidentiality, and sound judgment.
