Position Requirements The Talent Acquisition (TA) Coordinator plays an important role in providing consistent, centralized support to Talent Acquisition Managers as they identify finalist candidates and move to the final interview and offer stage of the full cycle recruiting process.
The TA Coordinator will ensure timely and efficient processing of all necessary candidate information paperwork to ensure compliance as the candidate moves to the offer stage and then upon acceptance of the offer, the TA Coordinator will be responsible for the processing of all paperwork related to a new hire and hand over to the Onboarding Team
This role reports to the Director of Talent Acquisition and can be remote
- Partner with TA Team(s) to create and send out offer letters for candidates
- Enter offer details, and send an email out to stakeholders that the candidate has signed his/her offer letter, and the candidate has been moved to Preboarding.
- Work closely with recruiters on each hire to maintain candidate files and be the point of contact to finalize all necessary paperwork in the new hire files in Workday, ensure compliance with NAPA standards and legal requirements.
- When requested, create, close and unpost job requisitions in Workday as necessary
- Update Job Description formatting in Workday as needed
- Manage external posting channels like Gaswork, Esthesia, Indeed
- Manage Recruitment Inbox
- Support Name Clears for Talent Acquisition Managers (TAM)
- Support monthly/quarterly TAM Audits
- Manage administrative process for referrals
- Manage Letters of Intent (LOIs) Tracker from recruiting events
- Maintain data integrity in the Applicant Tracking System (Workday)
- Process candidate reimbursements i.g Interview Travel Reimbursements
- Provide backup support to other TA Coordinator(s)
Knowledge and Skills - This role is entry level
- A four-year college degree is required
- Proven ability to perform administrative work of a complex nature utilizing strong organizational skills with a focus on details and accuracy.
- Proven efficiency in a high volume, repetitive work environment.
- Proven ability to prioritize tasks and complete a high volume of assigned work accurately.
- Demonstrated success in working effectively and efficiently under pressure.
- Excellent interpersonal skills and demonstrated ability to work with all levels in the organization and communicate effectively regarding sensitive and confidential matters.
- Working experience with MS Office applications
- Experience with HR Information Systems, Applicant Tracking Systems
- Experience with detailed reporting and tracking advantageous.
- Must have demonstrated critical thinking skills
- Familiarity with MS Word, Excel, and other MS applications including Outlook

This is a virtual position, with occasional travel to our Melville, NY office. The ideal candidate will be within driving distance to our Melville Corporate Office
